Your Productivity Questions Answered-A Q and A

In the past few weeks, I have hosted several training workshops and client sessions. During those sessions, both training participants and clients have asked some great productivity questions. Below are some of the most recent questions along with my answers-the A to your Q.

Question:

How do I share an Evernote note or notebook with someone?

Answer:

Evernote started as a list-making app. Over the years it transformed into an app that sorts and finds emails, scanned items, pictures, and more. As a result, Evernote allows you to save and organize all kinds of information.

The easiest way to share a note or notebook with someone in Evernote is to utilize right-click for PC users and hover for Mac users. When you right-click on the note or notebook in Evernote, the option to ‘share a notebook’ pops up. Select this and it will prompt you to ‘invite’ people. Type their email address into the box and then click invite. You can share everything this way—from projects you’re working on with your team to lists you need to share with a loved one.

Question:

Is there a way to schedule a reminder for a card in Trello?

Answer:

Trello is an organizational app that allows you to organize and keep track of all kinds of information. According to their website:

Trello is a list of lists, filled with cards, used by you and your team. It’s a lot more than that, though. Trello has everything you need to organize projects of any size.

To schedule a task, hover over the card you wish to be reminded of. A pencil icon will pop up. Click the pencil to open the card for editing. Go to “change due date” and click. You can set the date and time of your reminder from there.

Question:

I have an app that reminds me to breathe and be calm. But when the alarm goes off to remind me I rarely do it. Any suggestions on how to incorporate the mindfulness meditation I need throughout the day?

Answer:

Connect with a trigger you see or hear throughout the day that reminds you to take a deep breath and be mindful. For example, my home office used to be by a church. So, when I heard the bells of the church ring at certain times of the day, I connected the sound with being mindful and present. This sound automatically reminded me to relax. Even today, when I hear the bells of a church, I stop to take a deep breath and relax.

Use sights and sounds that trigger mindfulness in you automatically and then take the time in those moments to connect to those sights or sounds and become mindful and more relaxed.

Question:

This is a question I asked the participants in a workshop: What makes a meeting great?

Answer:

The participants provided many answers. Here are a few:

  • When everyone at the meeting contributes and shares ideas.
  • When the meeting is held in a relaxed place with a group of couches or chairs.
  • When everyone leaves the meeting clear on actions to take and move a project forward.
